Customer Service Administrator – Fluid Energy -  Processing Division

Job Description

 

 

Overview:    The Customer Service Administrator reports directly to the Operations Manager and has a major support function to the Operations Manager, Account Manager and Quality Director in clerical and administrative support. This list is not intended to be an all-inclusive list of job requirements with additional job duties to be assigned as needed.

 

Requirements:  The Customer Service Administrator must have the ability to coordinate multiple functions at one time and on a recurring basis.  A courteous demeanor and manner are required as this position is the first contact to Fluid Energy which include greeting and communication with customers, and vendors. This position also requires assignments to be completed in a proficient and timely manner. While performing these duties, the employee is regularly required to sit, stand, and have finger/hand coordination.

 

§         Manage all telephone operations, screens incoming calls, transfer and taking/relaying messages.  Assist with all customer contact as required.

§         Greet and direct visitors to appropriate Fluid Energy personnel

§         Gather, prepare, and ship product samples including arrangement for carrier pickup

        according to the GMP-01 or customer instructions

§         Copying, e-mailing, faxing and filing of various paperwork as required to customers

§         Order raw feed product (Sodium Benzoate, TSPP, Manganese Chloride as required by production

§         Maintain customer communication as required to gather any needed information

§         Assist with sales order entry and generate  invoices as required

§         Assist with updating GMP-01’s  as required

§         Assist Quality Director as needed including but not limited to calculate yields, and prepare Certificates of Analysis for each product run upon completion

§         Serves as back up as needed within the department

§         This is a salary position within Fluid Energy

§         Follow all safety rules within Fluid Energy

 

Qualifications:    

§         High School diploma, along with 2-3 years related experience.

§         Customer service experience required

§      Must be able to read, write, communicate and understand the English language along with good  interpersonal skills and attendance

§      Must have the ability to add, subtract, multiply and divide in all units of measure in whole numbers, common fractions and decimals.

§      Accounting software experience helpful, but not required

§      Experience with PC including Microsoft Word, Excel and Outlook required.

§      Must be able to work independently with little or no supervision.

§      Familiar with ISO 9001 procedures desirable, but not required

§      Hazardous Materials shipment training desired, but not required
